Aisling Psychotherapies Session Agreement

This agreement is designed to provide a clear framework for safe and effective therapy and coaching sessions.

Confirming Your Details

When registering, you will have been asked to confirm your name, address, age, and GP details. This information is essential for anyone attending sessions. If you are booking on behalf of a child or young person, we will also request school information and details of any other agencies involved in their care. Having accurate and complete information helps us provide the best support.

Session Structure

The duration of sessions will vary based on the type of session you have booked. All bookings are made through our website, allowing you to choose a convenient time. Sessions will be conducted via Zoom.

Cancellations and Rescheduling

Regularly scheduled sessions are important for continuity, typically held weekly or bi-weekly unless otherwise arranged with your practitioner. If you need to cancel or reschedule a session, please provide as much notice as possible.

For cancellations made with less than 48 hours’ notice, the session will be considered a short-notice cancellation and will be charged in full.

Attending Sessions

If you anticipate being late for a session, please notify us via email. Unfortunately, we cannot extend sessions beyond the scheduled time. If we do not hear from you within 15 minutes of the session’s start, the session will be terminated and charged in full. Zoom links for each session will be sent via email. Should any technical difficulties arise, we will attempt to reconnect. If issues persist, we will follow up with you by email.

Recording of sessions will not occur without your explicit consent. Similarly, we ask that you do not record sessions without prior discussion and agreement.

Working Electronically

To ensure a productive and confidential session, please participate from a private space where others cannot overhear the conversation. If you are supporting a young person, make sure they are in a comfortable and confidential environment. For the best Zoom experience, we recommend using the latest version of the Chrome browser.

Confidentiality, Privacy, and Record-Keeping

Your sessions are confidential. However, if there are serious concerns about your safety or the safety of others, we may need to contact another party. This will always be discussed with you unless the situation is urgent. If a child’s safety is at risk, we are legally obligated to report this information.

In some cases, additional support beyond private sessions may be necessary. If you wish, we will help direct you to other appropriate resources.

All practitioners receive supervision as part of maintaining professional standards. This is a confidential process, and any discussion of clients will not include identifying details. Minimal written records are kept about sessions. These notes are not legal documents and are stored securely, anonymously, and confidentially. You may request access to your notes, and after our work concludes, they will be retained for seven years before being securely destroyed.

In the Event of Illness

Should your practitioner be unable to continue sessions due to illness or death, another practitioner from Aisling Psychotherapies will contact you to discuss the next steps.

Termination of Sessions

You are free to terminate sessions at any time. However, we encourage you to discuss any difficulties with us first. While the number of sessions may guide the end of therapy, we will discuss the conclusion of our work at least two sessions before the final meeting.

Complaints

We have a complaints procedure outlined on our website to assist you if needed. If this policy is followed and the complaint has not been resolved below are common accreditors and their complaints procedures. Your practitioner will make it clear who they are accredited by in the assessment session.
